Johns Hopkins Wireless PDA Information

This document will provide an overview of the GroupWise PDA intergation including device activation procedures, pricing, support concerns, and vendor contact information.

Email Options for Handheld Devices

Blackberry and Treo devices are popular among the Hopkins community. Connections to Hopkins email systems can be accomplished in various ways depending on the device, carrier, and email system used.

I. Blackberry Options 

Option A: Use native Blackberry email client to redirect messages to the device.  Synchronize calendar and contacts by installing IntelliSynch software on your PC and connecting the device to your PC and creating a rule in your email account that forwards all messages to the blackberry email account.

 Pros:    

  • No software needs to be installed on the Blackberry.
  • Easy to setup, no costs associated with use.

 Cons:   

  • Calendar/Contact changes are not updated on the device until a synch is completed, which requires a connection to a PC with the proper GW client and synch software installed.
  • Messages that are read/deleted from the Blackberry still exist in the email account unless a rule is created that deletes messages after they are forwarded to the device.

Considerations:

  • The “from” address can be modified in the Blackberry web client to appear as though the message originated from an “@jhu.edu” or “@jhmi.edu” address

Option B: Setup device on the Blackberry Enterprise Server (BES). This will enable wireless synchronization between your GroupWise mailbox and your device. You can sync email, calendar and contacts through the use of a server-based process that monitors the GroupWise email server and Blackberry device.  Email, Calendar and Contact synchronization functions occur in real time over the data networks of both Cingular and Verizon cellular carriers.

Pros:

  • No need to connect device to a PC to synchronize calendar and contacts.
  • Status of messages that are read or deleted from the device are updated in the inbox.

Cons:

  • Monthly fee associated with use of Notify software ($20.50 per month)
  • You can only sync one personal address book from GroupWise with your device.

II.Treo/Pocket PC Options:

Option A: Use preinstalled Treo email software to POP email from any email systems that support POP (both GroupWise and JHEM support POP).  Use PC-based software to synchronize calendar and contacts using

Pros: 

  • No software installation required.
  • No additional costs, easy to setup

Cons:

  • Battery life is poor with Treo if email update interval setting too low.

Option B: Notify wireless email application synchronization. This third-party application allows wireless synchronization of email, calendar and contacts through the use of a server-based process that monitors the email system and handheld device.  Email, Calendar and Contact synchronization functions occur in real time over the data networks of both Cingular and Verizon cellular carriers.

Pros:

  • No need to connect device to a PC to synchronize calendar and contacts.
  • Status of messages that are read or deleted from the device are updated in the inbox.

Cons:

  • Monthly fee associated with use of Notify software ($20.50 per month)
  • There is a 4000 item limit in both the Inbox and Calendar for syncronization to occur between the mailbox and the device.
  • Battery life is poor with the Treo if email update interval setting is too low.

Synchronization Methods

PDA users at Hopkins have several options for email and PIM synchronization. These options range from simple forward rules that redirect email to a handheld, to wireless synchronization applications that synchronize email, calendar, contacts, and tasks. There are basically 5 options for email integration that can be applied to wired/wireless handheld devices:

1. Wireless Synchronization

Email and Calendar information are synchronized in real-time over a wireless data network. Changes made to messages on the device are sent back to a server and the status is updated in the Inbox. Use of wireless synchronization removes the need to use a cradle or connect the device to a PC.

2. Desktop Synchronization

Many PDA device manufacturers provide desktop synchronization software that uses a cradle or USB cable to synchronize email, calendar, contacts, and tasks. This Personal Information Management (PIM) capability has been in use at Hopkins for years but produces mixed results as compatibility with GroupWise and periodic desktop related issues present some challenges with support. This method can be used for both wired and wireless devices.

3. Forward Rules

Email can be "forwarded" from an inbox to a wireless device and appears on the device as though it was from the original sender.  In this case, email is delivered in real time via the wireless network, but does not provide any wireless capabilities for PIM.  Forward rules can be used in conjunction with desktop synchronization where PIM is synchronized via the desktop and email is sent over the network.  If a reply is sent, the address used in the "From" address will be whatever email account is associated with the handheld device.

4. POP/IMAP

Some handheld devices provide a POP/IMAP client that allows users to download, read, and send email via the wireless data network. It is increasingly important that handheld devices supporting this capability use the secure forms of POP and IMAP, which is the only option when used with GroupWise. This method does not provide wireless synch for PIM, which can be provided via desktop cradle synch previously mentioned.

5. Wireless Web Access

Some handheld devices support the ability to connect to email via a web access server. This scenario is similar to accessing email through a web browser but the display is formatted to fit the screen of a PDA. No email data is stored locally requires a constant data connection to read/send messages.
